This Privacy Notice in conjunction with the latest Rules of Farm Stock (Scotland) Ltd registered and approved by the Financial Conduct Authority on 25th October 2017 and also the terms of our Member Society’s Contract, set out the basis on which we will process and handle any personal data we collect from you and hold on your behalf. What information do we collect and hold about you?

We collect and hold information about you when you become a shareholder of one of our Member Societies or we trade livestock on your behalf as a producer independent of our Member Societies. We also collect information when you voluntarily complete consigner surveys or provide feedback on our services.

Information that we collect and that which is given to us with your consent, includes your name, email address, full postal address, contact phone and fax numbers, company or trading name, CPH Number, UK Flock Number and Farm Assurance Number. CPH, Flock and Farm Assurance Numbers are required to trade your livestock to third parties.

We also collect and hold financial information including your VAT Registration Number and your bank details with Name and Full Postal Address of Bank of Building Society, Sort Code and Bank Account Number. This information allows us to comply with the application of VAT to self-billing documents and to transfer receipts of livestock trades direct into your bank account.

We will also hold details of our historical trading record with you including the number, species and class of animals traded, associated weights, grades and health records and the net receipts received by you.

Additionally, if you contact us we may keep a record of that correspondence or call.

How will we use the information we hold about you?

We collect information about you to process livestock trades to third parties, to meet UK legislation on livestock movements and to transfer funds direct into your bank account. We share your information with trusted third parties however we only provide the information they need to perform their specific services to help facilitate our service to you. At no time will we give your personal information to any third party other than in relation to our contractual obligation to trade your livestock. We will never sell your personal data to any third party.

We may disclose information about you to law enforcement officials in the investigation of any alleged unlawful activities by you. We may also be required to disclose information to a court or regulatory body when required to do so by law.

Marketing and Communication

As part of our service to you, we would like to send you information using your contact details and other means of communication, to keep you informed about market prices and opportunities. We will also send a summary, annually or on request, of your trading history with us.

We may also send you information about our services which may be of interest to you. You have the right at any time to stop us from contacting you and if you no longer wish to receive communications from us please let us know.

Access to Your Information and Corrections

You have the right to request a copy of the information that we hold about you. In either case please note that we request that you provide confirmation of identity to enable your request to be processed securely and confidentially.
