Our Security Policy

Farm Stock (Scotland) Ltd will always treat your privacy and data security with the utmost care and this policy provides guidelines for the protection and use of information within the business to ensure the integrity, confidentiality and availability of data and information assets.

Farm Stock’s data systems which includes all software and hardware, will only be used for legitimate Farm Stock business. Users are provided with access to internal networks to assist them in carrying out activities consistent with their responsibilities.

Responsibility for Information Security

Ultimate responsibility for information security rests with the Board of Directors but on a day-to-day basis the Operations Manager and Administrator shall be responsible for managing and implementing the security policy and related procedures.

All staff shall comply with security procedures including the maintenance of data confidentiality and data integrity. Failure to do so may result in disciplinary action.

Each member of staff shall comply with the security arrangements currently in force and shall be individually responsible for the security of their physical environments where information is stored and for the operational security of the information systems they use.

The only external contractors with access to data held by Farm Stock are the hardware and software contractors required to maintain Farm Stock’s data and operational systems and all staff of sub-contractors are required to comply with appropriate security policies.

Physical Security

Access to data held on Farm Stock’s information systems is minimised by restricting physical access through normal security measures. Doors and windows are secured overnight and at all times when the office is unattended.

All security and safety of all portable technology such as mobile phones, laptops, tablets etc will be the responsibility of the employee issued with the equipment.

It is the responsibility of the Operations Manager to ensure that physical security measures are complied with at all times.

Information Security

Farm Stock’s hardware, operating systems and anti-virus measures are maintained by GB Technologies.

All sensitive, valuable or critical business data is stored on Farm Stock Servers and is backed up by GB Technologies. Daily back-ups ensure business resilience to hardware failure.

All staff must abide by the rules of The General Data Protection Regulation (GDPR) and all staff are aware of and kept up-to-date on Farm Stock’s privacy and security policies.

Access to data is restricted to authorised users who have a bona-fide business need to access the information and all access by staff is password protected by an 8-character upper and lower case alpha numeric password.

Staff issued with mobile phones or other digital equipment are responsible for their safekeeping and pin protection must be used to protect the device and any stored data.

Mobile devices must never be left unattended in a public place or in an unlocked house or motor vehicle.

No sensitive, valuable or critical business data is transferred to memory sticks or other removable media.
